This privacy statement explains the reason for the processing of your personal data in the context of a meeting or event, organised by Software Mansion S.A. (“the Data Controller”).

2. Why and how we process your personal data.
Software Mansion S.A. collects and further processes your personal data to provide you with information about the specific meeting or event (before, during and after) and to process your application for participation in that meeting or event.
As this is necessary for your participation in the event and for us organizing it as planned, the legal basis for collection and further processing od this data is necessary for the performance of a contract underlying your participation in the event (GDPR Article 6(1)(b)).
In certain cases (as described below), we may collect data relating to your dietary preferences, declared allergies and food intolerances. In some context, this data may constitute a special category of data as described in the Article 9(1) of GDPR. If such situation occurs, we only collect and process such data upon your prior consent (as per GDPR Article 9(2)(a)) for the purpose of the safe and comfortable provision of meals during a meeting or an event.
In the case your identifiable photos or video recordings are collected and processed, it is done so for the event promotion and post-event marketing purposes. The legal basis for this is your consent (GDPR Article 6(1)(a)).
Your personal data provided in the context of a meeting or an event will not be used for any automated decision-making, including profiling.
3. Which personal data do we collect and further process?
The following personal data may be processed in the context of the meeting or event:
· in each case: contact details (function/title, first name, last name, e-mail address)
· in case of an event where meals are included: participants’ dietary preferences, declared allergies and intolerances
· where audiovisual content is recorded: participant’s identifiable photos or video recordings
4. How long do we keep your personal data for?
The Data Controller only keeps your personal data for the time necessary to fulfil the purpose of collection or further processing.
For each of the categories of personal data that may be processed, please find below the retention details and the reference to the relevant record of processing:
· personal data related to the organisation and management of the meeting or event (contact details (function/title, first name, last name, e-mail address) will be stored for 12 months after the meeting or event
· personal data related to participants’ dietary preferences, declared allergies and intolerances (if collected) will be deleted immediately upon the meeting or event conclusion
· participant’s identifiable photos or video recordings taken for the event promotion and post-event marketing purposes will be stored for as long as necessary for the event promotion purposes. In any event, you may request their takedown through the measures described in the general Software Mansion Privacy Policy.
5. How do we protect and safeguard your personal data?
We use appropriate security measures designed to protect the security of your personal data both online and offline. These measures vary based on the sensitivity of the personal data we collect, process and store and the current state of technology. We also take measures to ensure service providers that process personal data on our behalf also have appropriate security controls in place. When we transfer data across borders, we also take supplementary measures to ensure that data is protected.
Please note that no service is completely secure. While we strive to protect your data, we cannot guarantee that unauthorized access, hacking, data loss or a data breach will never occur. In this case, we shall always, as soon as possible, take on appropriate legal and security measures, as per the relevant section of the GDPR.
